The Application Process – Explained Step by Step

The application process can take up to four weeks. Here we present the individual stages of your application:

The application process shows the entire selection procedure for filling a position in the company. At invenio, the application process consists of the following steps:

After receiving your application, we first check it for completeness. Then your profile is reviewed and evaluated with regard to the position you are interested in. If you are interested, the department will then contact you to arrange a (telephone) interview, for example. If your profile is not suitable for the position, we may also forward the documents to other invenio departments or locations for review. Therefore, it can sometimes take longer, especially if the advertised position is intended for a customer project and further coordination is necessary as a result. We will of course keep you informed about the status of your application as it progresses. If you have any questions, please feel free to contact us at any time.

Have you discovered a suitable job offer? Then preferably apply directly via the 'apply online' link in the respective job advertisement. This way, your application can be processed immediately upon receipt and will reach the right contact person directly. If an online application is not possible, for example for technical reasons, send your application by e-mail to the person responsible named in the advertisement.

As long as a job advertisement is online on our careers page, you can apply.

You can upload several files to our database, but each file must not exceed 10 MB. If you cannot reduce the file size further, please send us the files by e-mail. Please also make sure not to send protected files so as not to delay the application process. Please only send us documents in PDF format.

After sending your application, we will receive it directly and you will receive an acknowledgement of receipt within a short time. We will check the completeness of your documents and contact you if we need further information or documents.

Once we have received your application, our recruiters and colleagues in the departments will look through your documents. We look to see if other vacancies fit your profile. Depending on the number of applications received, it can take between 10 and 20 working days to process your documents, but we will always keep you informed about the status of your application. If, exceptionally, you do not hear from us for a longer period of time, you can always inquire about the current status by phone or e-mail.

Would you like to apply but have not found a suitable position with us? We will be happy to check your job opportunities. Please apply preferably via the application area on our homepage. In the overview of our vacancies, you can submit your application under proactive application.

Of course you can! Just tell us in your application all the jobs or locations that are of interest to you. Or you can enter the information in the 'Comments' field in the application form. Together, our recruiting managers will examine all the possibilities of employing you. In doing so, we not only consider the jobs you have indicated, but also check all the offers at invenio that are suitable for you.

The interview is about gaining a mutual personal first impression. This is the opportunity to clarify your motivation for the open position and to demonstrate your skills and experience. In return, we will tell you more about the function of the position, the tasks, the team and the opportunities for further development within invenio. As a rule, an interview lasts about 60 to a maximum of 120 minutes. The interviews are usually conducted in person or online via MS Teams.

Our advise: Be open and honest during the interview! It is important for a successful cooperation that you feel comfortable.

Many companies are increasingly conducting interviews online/digitally. This means that appointments can be planned much more flexibly for both the applicant and the company. At invenio, we also offer job interviews via MS Teams. You will receive a link from us via which you can dial in. If you have a camera on your PC, we will be happy to switch it on.

Depending on the job description and the department, a telephone interview may be held before the job interview. The telephone interview lasts max. 30 minutes and is about getting to know each other and talking through your application documents.

Your data can only be viewed by our responsible human relations team and by the recruiting managers of the departments. We store your personal data for a period of six months after receipt of your application.
